Organizer: Coast to Coast Consulting Services Inc. ("the Organizer")
Registered in: British Columbia, Canada
Event: Coast to Coast Higher Education Fair – December 2025 ("the Fair")
- General Terms
By submitting a registration form, the participating institution (“the Exhibitor”) confirms participation in the Fair and agrees to these terms and conditions.
The Organizer reserves the right to modify the fair layout, venue, or schedule if required due to circumstances beyond its control. In such cases, the Organizer will ensure that the alternative venue or schedule offers the same or higher standards as the original arrangement.
Booth allocation will be determined by the Organizer and may vary in form (table or booth setup). Specific placement requests cannot be guaranteed. Each institution is allowed to bring up to 2 roll up banners with optional table top banners with the list of the programs offered.
- Participation Fee & Payment Terms
The participation fee covers one representative from the Exhibitor. An additional fee of CAD $100 applies for any extra representative.
The full participation fee must be paid no later than four (4) weeks before the event date by wire transfer to the Organizer’s designated account. All bank charges related to the transfer must be covered by the Exhibitor.
Failure to complete payment by the deadline may result in cancellation without refund. If non-payment occurs within thirty (30) days of the Fair, the Exhibitor remains liable for the full participation fee, as per the cancellation policy (Clause 6).
- Booth Setup & Conduct
Exhibitors must set up their booth no later than 45 minutes before the fair opens and vacate promptly after closing. Any exhibitor unable to arrive at least 45 minutes before the event must inform the Organizer in advance.
Only the institution name(s) listed on the registration form may appear on signage and promotional materials, except sister institutions under the same company.
Exhibitors cannot have other educational agents in their booth. For the purpose of these terms, an educational agent is defined as any third party, not a full-time employee of the Exhibitor, who recruits students on the institution’s behalf.
- Promotional Materials
Exhibitors are responsible for bringing their own brochures, flyers, and roll-up banners. If the Exhibitor wishes to mail promotional materials to the Organizer’s office in advance, the Organizer must be informed beforehand. The Organizer is not liable for any loss or damage to materials mailed prior to or during the fair.
- Services Included in the Registration Fee
The following services will be provided free of charge by the Organizer: 1 representative participation, coffee/tea breaks, basic fair equipment (table, chairs, name badges), fair promotions & PR, seminar slot (limited spots, first come first serve), and a reception/cocktail after the fair.
- Cancellation & Refund Policy
Cancellations must be submitted in writing. Refunds will apply as follows:
- More than 45 days before the fair: 50% refund
- Less than 30 days before the fair: No refund
No refund will be issued for late or unpaid participation fees.
If the event is cancelled due to force majeure (e.g., natural disasters, public health emergencies), a credit will be offered toward a future event.
- Lead Generation and Sharing
The Organizer will be responsible for following up and recruiting of all students who attend the Fair.
Exhibitors are responsible for tagging all students enrolled from this fair to Coast to Coast Consultancy as an agent.
- Liability
The Organizer is not responsible for any personal injury, property loss, or damage occurring during participation in the Fair. Exhibitors are responsible for the conduct of their representatives and must comply with all venue rules and safety regulations.
- Governing Law
These Terms & Conditions are governed by and construed in accordance with the laws of the Province of British Columbia, Canada. Any disputes shall be resolved exclusively in the courts of British Columbia.
- Acceptance
By registering for the Coast to Coast Higher Education Fair 2025, the Exhibitor acknowledges having read, understood, and agreed to the above Terms & Conditions.
